1. Who we are.
thebespoketraveler is a luxury travel media brand operated by Kafele Herring. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what your rights are.
2. Information we collect.
We collect two categories of information. First, information you provide directly — your name, email address, phone number, travel preferences, communication history, and any other details you submit through forms on this site or in correspondence with us. For clients who book trips through us, we also collect passport details, dietary requirements, and any health or accessibility information you choose to share so we can route the trip correctly.
Second, information we collect automatically — limited technical data through cookies and analytics (page visits, referral source, device type, browser, and approximate city-level location). We do not collect precise location data.
3. How we use your information.
We use your information to respond to inquiries and build trip quotes, send our newsletter (the Dispatch) only with your consent, maintain client records and trip history, coordinate bookings with the operators we route through, and improve the website and our services. We do not sell your information to third parties.
4. Third-party services we use.
We share limited data with service providers that support our operations — newsletter delivery, CRM and client records, workspace and analytics, and the booking operators we route trips through. Each is bound by their own privacy obligations.
5. Cookies and tracking.
This site uses cookies to maintain login state, deliver analytics, and remember preferences. You may disable cookies in your browser settings, though some site functionality may be limited. We do not use cookies for advertising retargeting.
6. Your rights.
You have the right to access, correct, export, or delete your personal information at any time. To make any of these requests, email hello@thebespoketraveler.co. We respond within 30 days. If you are in the European Union, the United Kingdom, or California, you have additional rights under GDPR, UK-GDPR, and CCPA respectively, which we honor.
7. Email subscriptions.
Every email we send includes an unsubscribe link, or you may opt out at any time via our Email Opt-Out page. Unsubscribing removes you from our newsletter list within 24 hours and does not affect any active trip bookings.
8. Data security.
We use reasonable industry-standard measures to protect your information, including encrypted connections, access controls, and regular security reviews. No system is 100% secure; if a breach occurs that affects your data, we will notify you within 72 hours of discovery, as required by law.
9. Data retention.
We retain your information for as long as your account is active or as needed to provide services and meet legal obligations. Closed-client data is retained for seven years after the last interaction for tax and operational records, then deleted.
10. International transfers.
The brand is operated from the United States and Vietnam. By using this site, you consent to your information being transferred to and processed in those jurisdictions. We use Standard Contractual Clauses where required for international data transfers.
11. Children.
This site is not directed at children under 16. We do not knowingly collect information from children under 16. If we learn we have, we will delete it.
12. Changes to this Policy.
We may update this Privacy Policy from time to time. Material changes will be communicated by email to active subscribers and by a notice on this page.
